What personal data we hold, why, and what you can ask us to do with it.

Version 1.1 · Updated 26 August 2026

What we collect

  • Account details: name, email address, and anything you choose to add to your profile.
  • Listings: the tool description, price, photographs, and the address you give so we can show a location and distance.
  • Bookings: dates, amounts, and the status of each hire.
  • Messages you send to other members through YOKE.
  • Photographs recorded at collection and return, and anything you upload when reporting a problem.
  • Basic technical data: device type, browser, approximate country, and which screens you used.

Why we hold it

  • To run the marketplace — showing listings, taking bookings, and letting the two sides talk.
  • To take payment, hold and return deposits, and pay owners.
  • To resolve disputes about damage or condition, using the evidence recorded at the time.
  • To keep members safe and prevent misuse.
  • To understand how the product is used, so we can improve it.

Who processes it for us

  • Supabase — database, accounts and file storage.
  • Stripe — payments, deposits and owner payouts. Card details go straight to Stripe; YOKE never sees or stores them.
  • PostHog (EU region) — anonymous product analytics. We deliberately do not send names, email addresses, phone numbers, message contents or payment details.
  • OpenStreetMap Nominatim — turning an address you type into map coordinates.
  • Vercel — hosting.

What other members can see

Your name, profile photo, bio, general location, rating and reviews are visible to other members. Your email address, phone number and exact address are not.

Photographs and descriptions you upload when reporting a problem are private. They are visible only to the other party in that booking and to YOKE staff reviewing it.

How long we keep it

Account and listing data for as long as your account is open. Booking, payment and dispute records for six years afterwards, because we may need them for tax and legal reasons. Analytics data is retained by PostHog on our behalf and is not linked to your name or email.

Your rights

You can ask for a copy of your data, ask us to correct it, ask us to delete it, or object to how we use it. Write to privacy@toolshare.app and we will respond within one month.

If you are not satisfied you can complain to the Data Protection Commission in Ireland, or to the Information Commissioner's Office in the UK.

Cookies

We use cookies to keep you signed in, and local storage to remember an anonymous analytics identifier. We do not use advertising or tracking cookies, and we do not record your screen.
